Dashboard Guide

Navigate and use the PDF Ghost dashboard effectively

The PDF Ghost dashboard is your central hub for managing jobs, viewing organization activity, and accessing all features.

Dashboard Overview

When you log in, you'll see the main dashboard with:

  • Navigation sidebar - Access all major sections
  • Job list - View all your fingerprinting jobs
  • Quick actions - Create new job or run leak check
  • Organization selector - Switch between organizations (if member of multiple)

Main Sections

Jobs

  • View all fingerprinting jobs
  • Filter by status
  • Quick access to job details

New Job

  • Start creating a new fingerprinted PDF
  • Upload and configure settings

Leak Check

  • Upload suspicious documents
  • View leak analysis results

Settings

  • Personal account settings
  • Organization settings (if admin)
  • Billing and subscription management

Organization Dashboard

Overview Section

See a summary of your organization's activity:

  • Total jobs created
  • Active jobs being processed
  • Total recipients processed
  • Current plan usage

Recent Jobs

Quick view of recently created jobs with:

  • Job name
  • Status indicator
  • Recipient count
  • Creation date
  • Quick action buttons

Usage Statistics

Monitor your plan usage:

  • Jobs this month
  • Recipients this month
  • Storage used
  • Days until renewal
  • Purchased token balance (shown separately from subscription tokens)

Jobs List

Viewing Jobs

The jobs list shows:

  • Filename - Original PDF name
  • Status - Current processing state
  • Recipients - Number of people in the job
  • Created - When the job was created
  • Actions - Download, view, delete buttons

Status Indicators

  • 🔵 Queued - Waiting to process
  • 🟡 Processing - Currently generating artifacts
  • 🟢 Completed - Ready to download
  • 🔴 Failed - Error occurred

Filtering Options

Filter jobs by:

  • Status (all, completed, processing, failed)
  • Date range
  • Number of recipients
  • Search by filename

Sorting

Sort the list by:

  • Date created (newest/oldest)
  • Filename (A-Z)
  • Recipient count
  • Status

Quick Actions

Create New Job

  1. Click New Job button
  2. Opens job creation wizard
  3. Follow steps to upload and configure

Leak Check

  1. Click Leak Check button
  2. Upload suspicious document
  3. View results immediately

Use the search bar to:

  • Find jobs by filename
  • Search by recipient email
  • Look up job IDs

Organization Switcher

If you're a member of multiple organizations:

  1. Click the organization name in the top bar
  2. See list of all your organizations
  3. Click to switch between them
  4. Each organization has separate:
    • Jobs and artifacts
    • Team members
    • Billing and plans
    • Settings

The dashboard works on all devices:

Desktop

  • Full sidebar navigation
  • Table view for jobs
  • All features accessible

Tablet

  • Collapsible sidebar
  • Card view for jobs
  • Touch-friendly controls

Mobile

  • Bottom navigation bar
  • Simplified job cards
  • Essential features prioritized

Keyboard Shortcuts

Speed up your workflow with shortcuts:

  • N - Create new job
  • L - Open leak check
  • S - Focus search
  • / - Quick command
  • ? - Show all shortcuts

Notifications

In-App Notifications

Receive notifications for:

  • Job completed
  • Job failed
  • Team member invited
  • Payment processed
  • Plan limit approaching

Email Notifications

Configure email preferences in Settings:

  • Job completion alerts
  • Weekly summary
  • Billing notifications
  • Security alerts

User Menu

Click your profile picture to access:

  • Personal Settings - Account preferences
  • Switch Organization - Change active org
  • Help & Support - Documentation and support
  • Sign Out - Log out of your account

Tips for Efficiency

Organizing Jobs

  • Use descriptive filenames
  • Create jobs in batches
  • Download artifacts promptly
  • Delete old completed jobs

Monitoring Progress

  • Check status regularly for large jobs
  • Set up email notifications
  • Use dashboard filters to find active jobs

Team Collaboration

  • Use organization features for team access
  • Assign appropriate roles
  • Share dashboard view in team meetings

  • Default view (list or cards)
  • Items per page
  • Date format
  • Timezone

Display Options

  • Light or dark theme
